When the payment program is run, the selection parameters like the paying company code, vendor/customer accounts, etc. is entered on the parameter tab.
Multiple documents may be selected on the basis of the details entered under the parameters tab. So when the payment run is executed, all these documents will be picked up for processing on the basis of due date and the other paramters entered above, and payments will be made.
If you have a specific requirement, e.g. you want to make payments for a particular vendor invoice document number which is available with you, then you can make use of the free selection tab to enter the specific document number and make the payment only for that specific document. In order to do that select the option "Document Number" in the field name on the free selection tab, and then enter the actual vendor invoice document number against the values field.
Once this is done only the specific document number entered under the values field will be picked up for processing and payment will be made only against that document. The rest of the documents which would have satisfied the criteria under the parameters screen will not be considered for payment.
Therefore, the selection fields on the free selection tab act as additional filters to make payments for only specific documents. The above example I gave showed how you could select a particular document on the basis of the document number. Other criteria available for filtering are:
- Name
- Document Number
- Document Type
- Currency
- Country
- Authorization Group
- Account Group
- Search Term
- Payment Methods
etc..
Like document number you can use any of the above criteria for narrowing down the selection of documents which are processed by the payment program.
